We’re inviting enthusiastic student volunteers to join our event team and celebrate culture, creativity, and community spirit together.
Student Volunteer Roles (Project Coordinator – Student Volunteer)
Choose your area of interest or skill:
Event Host / Presenter – support stage coordination and announcements
Photography & Videography – capture event highlights and performances
Dance & Performance – take part in stage shows, Lion Dance and Dragon Dance performances, and cultural displays
Media & Promotion – assist with social media, interviews, and publicity
Community Support – help with guest registration, crowd guidance, and backstage coordination
Student Volunteer Allowance: £15
All student volunteers will receive a £15 allowance for travel and meals.

Key Information for Exhibitors
Setup Time: 9:00–10:30 AM (ready by 10:45 AM)
Event Time: 11:00 AM – 2:00 PM
Pack-down: 2:00–3:00 PM (no early pack-up)
All exhibitors must hold Public Liability Insurance (£5 million minimum) and submit a simple risk assessment.
Only non-invasive displays or demonstrations are permitted (no medical or clinical procedures).
All data collection must comply with UK GDPR regulations.

1. Introduction
Thank you for volunteering with EasyStepUK.
This handbook provides essential information to support your role at the Lunar New Year Fair 2026. It sets out event details, volunteer responsibilities, safeguarding and safety requirements, and expected standards of conduct.
All volunteers are expected to read this document carefully before the event.
2. Event Details

3. Event Management and Communication
An Event Lead will be appointed on the day and holds overall responsibility for the event.
Volunteers must follow instructions from the Event Lead and designated role leads at all times.
If you are unsure how to respond to any situation, you must seek guidance rather than acting independently.
4. Arrival, Sign-in and Attendance
All volunteers are required to arrive at 8:00 am on Saturday, 7 February 2026.
On arrival, volunteers must sign in at the EasyStepUK sign-in point in order to:
Confirm attendance
Receive final role confirmation
Collect any volunteer identification
Punctual arrival at 8:00 am is essential to allow sufficient time for setup, briefing, and safety checks before the event opens to the public.
5. Health, Safety and First Aid
A designated volunteer will act as the First Aid and Safety contact.
This volunteer will:
Know the location of the first aid kit
Be familiar with emergency exits
Act as the first point of contact for incidents or safety concerns
Any accident, incident, or concern must be reported immediately to the First Aid contact and the Event Lead.
Volunteers must not attempt to provide medical treatment beyond basic first response.
6. Safeguarding and Child Protection
EasyStepUK is committed to safeguarding children and vulnerable individuals.
Volunteers must follow these safeguarding principles:
Children must remain with their parent or guardian at all times
Volunteers must not be alone with a child
Volunteers must not escort a child away from their family
Any safeguarding concern must be reported immediately to the Event Lead
Professional boundaries must be maintained at all times.
7. Photography, Filming and Media
Photos and videos may be taken during the event for record-keeping and promotional purposes.
Volunteers must:
Avoid close-up photos or videos of children unless clear parental consent has been given
Prioritise wide-angle and general atmosphere shots
Stop filming if a participant expresses discomfort
If you are unsure whether a photo or video is appropriate, do not take it and consult the Event Lead.
8. Data Protection and Confidentiality
Volunteers must respect data protection and confidentiality requirements.
Volunteers must not:
Collect or store personal data outside agreed event processes
Photograph sign-in sheets, documents, or personal devices
Retain participant information after the event
All personal data is managed by EasyStepUK in line with data protection regulations.
9. Volunteer Conduct and Role Boundaries
Each volunteer is assigned a specific role.
Volunteers must:
Remain at their assigned role unless instructed otherwise
Ensure fixed roles are not left unattended
Act politely, respectfully, and professionally
Volunteers must not:
Provide professional advice (legal, medical, technical, or electrical)
Make promises or commitments on behalf of EasyStepUK
Engage in arguments or confrontational behaviour
10. Emergency Procedures
In the event of an emergency:
Remain calm
Follow instructions from the Event Lead
Do not attempt to direct crowds independently
Support vulnerable individuals if instructed
11. Dress Code and Personal Preparation
Volunteers are expected to:
Wear comfortable clothing suitable for standing and moving around
Wear appropriate, safe footwear
Keep personal belongings to a minimum

Acts as the first point of contact for safety concerns

Performance Area Support
Supports performers before and after performances
Coordinates with the host and Event Lead on timing
Manages the performance area to avoid overcrowding
Photography and Recording
Takes photos and short videos during the event
Supports live streaming or recording if applicable
Follows safeguarding and consent requirements
Captures general event atmosphere
Welcome and Wayfinding
Welcomes attendees at the ground-floor entrance
Directs visitors to key areas, including performances, stalls, and toilets
Responds to basic event-related questions

Manages and sells items at the EasyStepUK stall
Introduces EasyStepUK and its projects to visitors
Assists with payments and basic record keeping
Supports packing and item checks at the end of the event
Floating and Logistics Support
Assists with setup and movement of materials
Provides cover for other roles during busy periods
Helps resolve practical issues during the event
13. Absence and Changes
If you are unable to attend the event, you must notify EasyStepUK as early as possible.
If an emergency arises on the day, contact the Event Lead directly.
